Professional Conference Organising

Each event and the organising committee have specifically defined needs that may present themselves. As the conference organisers we are accustomed to this and gladly accept that this forms a part of the overall service required. The Conference Company provides the following services to ensure efficient and complete satisfaction of all client requirements:
 Accommodation Co-Ordination
Group reservations made at appropriate establishments to ensure sufficient accommodation is available for delegates during the conference period. This will be done at no risk to the committee or association, but will be the responsibility of The Conference Company. Offering this service enables us to locate and track participating delegates in an attempt to assure their public safety and cost effective prices
 Conference Venue Management
Liaison and co-ordination of the conference requirements with the appointed staff at the selected conference venue. Detailed Working Document to be compiled, outlining all the event requirements, set up detail, menus and other specific important requirements
 Secretariat Services
All administrative and secretariat functions are delt with, incorportating the attendance of all committee and sub-committee meetings.  Co-Ordination of attendance of the various committee members.  Minute taking and distribution.  Budget reporting and assistance as may become necessary.
 Marketing and Website
Design and implementation of an effective marketing strategy for the event is extremely important as this will form the event identity. Regular updates of the website to be done as the event date advances.  Announcements and teasers to be sent regularly to potential delegates to improve awareness and attendance numbers.
 Exhibition Management
The Exhibition is a key element of any conference and has proven to be one of the greatest forms of additional income. Exhibition layout design, marketing, administration and onsite management of the exhibitors can be done by The Conference Company.
 Online Electronic Registration
Our advanced registration and reporting software is managed online, 24hours a day. This means that delegates receive immediate feedback and confirmation of their attendance and on-site registration is fully computerized. Secure online method of payment is incorporated for the acceptance of registration and other fees payable.
 Social Programme
In consultation with the committee the social programme is compiled offering local and creative ideas within the budget. Our team is young and dynamic and always willing to try something new, fun and professional. 
 Finance 
Event Budget
After detailed consultation and discussion with the Finance committee, an event budget will be compiled that will form the cornerstone of the conference finances. Examples of previous budgets can be presented on request.  Assistance can be given, due to past experience, to provide an anticipated income and registration fee calculation.
Sponsorship
Assistance with obtaining sponsorship, contract negotiation and payments will be managed on behalf of the event, ensuring that the criteria specified in the agreement is met and delivered on by all parties.
 Technical
Obtaining appropriate quotations for sound, lighting and visual equipment as required for the event in the various venues. Translation equipment and service can also be provided and managed on behalf of the client.
 Transport
Airport Meet & Greet facility offered around the country.  Delegates can either select a VIP Limousine transfer or make use of the conference shuttle.  This can be done online whilst registereing for the conference.
Shuttle transportation from the official hotels and the conference venue can be provided.  Alternatively if the conference venue is remotely situated a shuttle bus can be scheduled for delegates.  Transportation to be arranged to and from social functions to ensure delegates' safety.
 Scientific Programme
Design of announcement or web related notification, specifying the abstract format and requirements to potential speakers or presenters for submission. Management and the receipt of abstract and collation on behalf of the Scientific Committee. Co-ordination of poster boards, numbering system and the allocated display area as required. Ensuring that all accepted speakers are registered to attend the conference in order to have the programme flow smoothly. Arrangement of flights, transportation and accommodation as may become necessary.
 Printing, Design and Branding
Providing assisance with the origination of the logo and incorporating the overall conference theme.  Using the conference logo continuously enhances the marketing strategy of the event.  
 Travel and Tours
Inhouse travel agency assists with the best airfares and online bookings.  Accompanying persons programme, Technical Tours, Pre & Post Tours can be specifically designed and managed for the conference. 
 VIP & Protocol
Dependant on the nature of the event, keynote speakers invited will be accommodated as the VIP regulations and Protocol dictate. Assistance in this regard will be provided to ensure that the needs and guidelines are adhered to at all times enabling the smooth running of the programme.
